We wanted every send to be earned: a verified address, a paced delivery, and a reply that lands on the same record the message left from.
Overview
Over three decades a consultancy builds a wide professional network. Akdan's list ran to thousands of names and lived where such lists usually live, in spreadsheets and address books, with no way of knowing which addresses were still real.
The list moved into Akdan's own CRM inside PumpGrowthOS. People kept their consent status and language; companies were created from the corporate domains those people share, so a person, the organisation they belong to and every later touch sit on connected records. Marketing mail is addressed to people, never to a company record.
Before anything was sent, the list was verified. The platform's own verification checks each address at the receiving mail server, in batches, with strict time limits, and writes the result to the person: verified, invalid or unknown. Invalid addresses drop out of the marketing list; unknown ones are kept but held back. A campaign that includes unverified addresses warns before it sends. This is what made the first announcement possible without damaging the sender's reputation.
The first campaign, announcing the coming site, went out from the firm's own address through the platform's sender: a daily allowance, a sending window from morning to evening, a pause between messages, and a dynamic segment that sends only to verified people. Bounces are read back from the mailbox, including the ones corporate mail systems report in their own formats, so the counters on the screen are the truth and a bouncing address is suppressed before the next send.
Replies land where the contacts are. Both of the firm's mailboxes are connected as shared inboxes inside the platform: a reply to a campaign or a new message from someone in the CRM appears on that person's record and rings the bell for Akdan's users. Authentication reports from the major mailbox providers are read automatically, so mail forged in the firm's name is visible.
The website feeds the same records. The contact form, the assistant's hand-over and the newsletter signup all write to the CRM; a second form from the same email address does not open a second lead but adds an activity to the existing one. Newsletter signups join the list with a confirmation email and a proper unsubscribe path, and the launch announcement is scheduled to reach exactly the people the first campaign reached.
The Challenge
Thousands of contacts collected over thirty years, an unknown share of them dead, and no place where a person, their company, a campaign and a reply could be seen together.
Contacts lived in spreadsheets and address books, with no single view of preferences, language or relationship history.
Nobody knew which addresses were still real; sending to all of them would have burnt the sender's reputation on day one.
Campaign tools sit outside the firm; replies land in a mailbox nobody connects to the list.
Website forms sent an email and stopped; the same person could arrive three times as three different leads.

Akdan now reaches its own contacts from its own platform. The list is marked address by address, so a campaign goes only to people who can receive it, and the sender's reputation stayed intact through the whole announcement because the verified segment bounced the way a clean list bounces.
